Terms & Conditions - Book with Confidence

YOUR BOOKING

Booking Confirmation

A booking is regarded as confirmed once it has been accepted or confirmed by the client via email, telephone, WhatsApp or SMS. Once confirmed, the booking becomes subject to Hoffanhein Lodge's booking and cancellation terms.

Deposits & Payments

A deposit is payable to confirm and secure a booking. The final invoice must be paid in full no later than 24 hours before the function, event or delivery date, unless alternative arrangements have been agreed to in writing with management.

Hoffanhei Lodge does not accept cheque payments unless prior arrangements have been made with management. Card payment facilities are currently not available.

Final Guest Numbers

Final guest or delegate numbers must be confirmed no later than 3 days before arrival or the event. Once the final number has been confirmed, the invoice will not be reduced if fewer guests attend.

The number of day visitors must also be communicated and confirmed so that they can be included in the quotation and/or invoice. The number and ages of children must similarly be provided where applicable.

PLEASE TAKE NOTE

Cancellation Policy

Once a booking has been confirmed, Hoffanhein Lodge reserves the required rooms, accommodation and/or venue facilities exclusively for that client and may therefore decline other enquiries for the same dates.

Should the client cancel a confirmed booking, a cancellation fee of 15% of the total value of the booking/invoice will become payable.

Where a deposit has already been paid and the booking is subsequently cancelled, the deposit will be forfeited and is non-refundable.

Should the confirmed number of guests or delegates be reduced after the booking has been made, the client will remain liable for the applicable 15% cancellation fee in respect of each cancelled guest/delegate, based on the amount originally booked.

Clients are therefore requested to ensure that the number of guests or delegates booked is as accurate as possible.

Important: By confirming a booking, the client acknowledges and accepts the applicable booking and cancellation conditions.
